Histology lab inventory software that's ready for inspection day
Histo Vault tracks every chemical and reagent by container and lot, works out real expiration dates, warns about unsafe storage and keeps your slide and block archive. It's all in one place, on the web and on an Android app that works offline.
No card needed. Set up in minutes. Export your data any time.

No expired reagents on the bench
Open-container and prepared-solution stability are tracked for you, with warnings 7, 30 and 60 days ahead.
Records inspectors ask for
Receiving, lot-to-lot checks, storage overrides, retention and a tamper-proof audit trail, in one inspection packet.
Works in the stockroom
Scan with a barcode scanner or the Android app, even without signal. Nothing is lost when you're offline.
Expired, expiring and low-stock reagents the moment you sign in
The dashboard shows what needs action today: expired containers, reagents expiring in 7, 30 and 60 days, low stock, quarantined bottles, new lots still waiting for a lot-to-lot check, overdue archive check-outs and archive material past its retention period.
- Daily or weekly email digest for each person
- In-app notifications for new problems
- One click to the reorder list, expiration report or flammables by cabinet
Chemical and reagent inventory, container by container
Every bottle, kit and box gets its own record and label: lot number, manufacturer expiration, received and opened dates, who handled it and where it is now. The effective expiration is the earliest of the manufacturer date, open-container stability and prepared-solution stability, recalculated the moment a container is opened.
- Open, use, move, quarantine, empty and dispose, each one logged
- Full history for every container
- Search by label, chemical, lot or barcode
A histology chemical list with GHS hazards, NFPA ratings and SDS
Start from a ready-made list of common histology chemicals (formalin, xylene, alcohols, stains, decalcifiers, acids and more), check it against your own safety data sheets, and keep the current SDS with each chemical. Set low-stock levels for the whole lab or for one location.
- GHS pictograms and hazard statements
- Catalog numbers and GTIN barcodes per vendor
- Open-container and prepared-solution stability
Storage locations, incompatible chemical warnings and flammable limits
Model your lab as sites, rooms, cabinets, refrigerators, shelves and bins. Histo Vault warns before incompatible chemicals are stored together, such as bleach and ammonia or formalin and hydrochloric acid, and keeps a running total of flammable liquids in each cabinet against its fire-code limit.
- Warn or block, your choice
- Every override needs a reason and is recorded
- Shelf labels that know what belongs there
Receive with one scan and print barcode labels
Scan the manufacturer barcode (GS1 lot and expiration are read automatically) or the shelf label, confirm, and print container labels on Avery sheets or Zebra label printers. Pre-printed blank labels work too.
- USB and Bluetooth barcode scanners
- Damaged or out-of-temperature deliveries quarantined automatically
- Receive many identical containers at once
Lot-to-lot verification and prepared solution traceability
When a new lot goes into use, Histo Vault asks for a lot-to-lot check, records the method and result, and lets a supervisor review and sign it. Working solutions are traced to the primary lots they were made from, so you can answer "which slides used this lot?" in seconds.
- Electronic signatures for reviews
- Lot history report
- Prepared-by initials and dates
Inventory, usage, cost and disposal reports
Inventory summary, inventory by location, expiration, low stock and reorder, usage by period, cost by chemical, receiving log, disposal log, storage overrides, flammables by cabinet, SDS index and lot history, each one as CSV or PDF.
- Export everything, any time
- Spreadsheet import with a full preview
Slide and block archive with check-out and retention tracking
File glass slides and paraffin blocks by scanning, check them out for consults, recuts, teaching or send-outs, and get told when something is overdue. Retention periods follow CLIA and CAP defaults you can change; destruction needs a proposal and an approval by a different person.
- Accession numbers only, never patient names
- Off-site storage boxes
- Access log of every view, search and export
CAP and CLIA inspection packet, audit trail and inspector mode
Make one PDF with the records an inspector usually asks for: reagents in use, receiving, prepared solutions, expired reagents, lot-to-lot checks, storage overrides, archive retention, users and an audit trail extract. Or give the inspector a read-only login that ends on the date you choose.
- Append-only audit trail: who changed what, when, old and new values
- Policies and procedures with approvals
- Requirement mapping and a validation (IQ/OQ/PQ) template
An offline lab inventory app for the stockroom and the archive
Receive, count, open, use and move containers, and file slides and blocks, with no signal. The phone keeps an encrypted copy of your lab's data and syncs when it's back online.
No barcode? Photograph the label: the phone reads the name, lot, expiration, CAS and catalog number for you to confirm. Optionally, your own AI key can read harder labels.
Your lab's data, locked down
Everyone signs in with a second factor (passkey or authenticator app), and labs can use their own single sign-on. Each lab's records are kept in their own database schema, the audit trail can't be edited, and phones store data encrypted.
